What is an AI receptionist, and does your business need one?

An AI receptionist is software that answers your business phone in a natural voice, understands what the caller wants, books appointments and takes messages. This guide explains how it works, what it can and cannot do, what it costs and how to tell if it is right for you.

The short answer

An AI receptionist is a phone agent powered by speech recognition and a language model. When someone rings your business, it answers in a couple of rings, greets them in your business name and has a normal conversation. It works out what the caller needs, answers questions using information you have given it, books appointments into your calendar and takes messages. It then sends you a summary of every call. It does all of this 24 hours a day without a queue, a lunch break or a sick day.

It is different from the automated phone menus everyone hates. There is no press one for sales. The caller simply talks, and the receptionist listens and responds the way a competent human would. It is also different from a traditional answering service, where a person in a call centre takes a message and passes it on. An AI receptionist is set up with your diary, your services and your rules, so it can actually book and answer rather than just relay.

The technology has moved quickly. Two years ago these systems sounded robotic and lost the thread of a conversation easily. Today a well set up AI receptionist handles most calls so naturally that many callers do not realise, and it is honest about being automated if they ask.

What an AI receptionist can do

Answer every call

It picks up in seconds, however many calls arrive at once, at any hour. Nobody hears an engaged tone or a voicemail.

Understand what the caller wants

It listens to natural speech, asks clarifying questions and works out whether the caller is a new enquiry, an existing customer or something urgent.

Book appointments

It books into the calendar you already use, respecting your working hours, appointment lengths and the rules you set.

Answer everyday questions

Opening hours, prices, services, directions and policies, using only the information you have approved.

Take accurate messages

Every call ends with a message to you containing the caller’s name, number and what they needed, in their own words.

Flag what is urgent

You define what counts as urgent, and those calls are flagged to you immediately rather than waiting in a list.

What it cannot do, and why that matters

An AI receptionist is not a replacement for expertise. It does not give legal, medical, financial or technical advice, and a well designed one is set up so that it cannot. It says what you have approved and passes everything else to a person. It also does not make commitments you have not authorised. If you have not told it that you can attend emergencies within an hour, it will not promise that.

It is also only as good as its set up. A receptionist that has been given your services, your diary, your pricing rules and your tone will perform well. One that has been switched on with a generic script will frustrate callers. The set up conversation is where the value is created, which is why reputable providers spend time on it.

Finally, it cannot read a situation the way a long serving member of staff can. It will not recognise your best customer’s voice or know that a particular caller always needs handling carefully. You can give it rules for these cases, but the judgment is yours.

Who it is for

Trades and sole traders

Electricians, plumbers, heating engineers and locksmiths who are on the tools all day and lose jobs to voicemail. The receptionist answers while they work and books the jobs.

Appointment businesses

Dentists, physios, salons, restaurants and clinics where the phone rings most when the team is busiest. It books appointments and handles reschedules without anyone on hold.

Professional firms

Solicitors, accountants and estate agents who need every new enquiry captured and every existing client routed to the right person.

Questions people ask

How much does an AI receptionist cost in the UK?

Entry level services for small businesses start at around £49 a month with unlimited calls. More capable voice agents that quote, take orders and take payment start at around £1,500 a month. Our guide to AI receptionist costs goes through this in detail.

Do I need to change my phone number?

No. You keep your number and forward it to the receptionist, either all the time or only when you cannot answer.

Will callers know it is an AI?

It speaks naturally, and most callers simply get on with their enquiry. If asked, a good receptionist is honest about being automated and offers to pass the caller to a person.

How long does set up take?

Usually a short call to learn your services, diary and rules, then testing. Most businesses are live within the week.
