What is an AI voice agent?
An AI voice agent is software that answers and handles phone calls in a natural voice. Unlike a simple receptionist, it is connected to your business systems, so it can quote, check stock, take an order or book a job while the caller is still on the line. This guide explains how it works, what it can and cannot do, and what it needs to work well.
The short answer
A voice agent listens to the caller, works out what they want, looks up the answer in your systems, does the job and replies in a natural voice. It can answer every call at once, day and night, and it hands the caller to a person when it should.
Think of it as the next step on from an AI receptionist. A receptionist answers and books. A voice agent also quotes, checks stock, takes orders and takes payment, because it is connected to the systems your business already runs on.
How a call works
1. It listens
Speech recognition turns what the caller says into text in real time, so the agent can follow a normal conversation rather than a menu of options.
2. It understands
A language model works out what the caller wants, whether that is a price, a delivery slot or a booking, and asks a follow up question if something is missing.
3. It acts
It checks your price list, stock, diary or order history, and follows the rules you set on what it can quote, discount or approve.
4. It replies and records
It answers in a natural voice, confirms the details back, and logs the call, the outcome and any order or booking for your team to see.
Voice agent, AI receptionist or phone menu?
Phone menu
Press 1 for sales, press 2 for accounts. It routes the call, but it cannot answer a question or get anything done itself.
AI receptionist
Answers in your business name, handles common questions, books appointments and takes messages. Ideal when most of your calls are bookings and enquiries.
AI voice agent
Does all of that and is connected to your systems, so it can quote from live prices, check stock, take orders and send a secure pay link.
What it does well, and what it should hand over
Good at
The repetitive calls that tie up your team: prices, stock, opening times, delivery questions, bookings and repeat orders. Busy times, when two lines ring at once. Evenings, weekends and bank holidays.
Should hand over
Complaints and upset customers. Technical questions it has no data for. Anything outside the rules you have set, such as a discount above your limit. A good voice agent passes these to a person with a summary rather than guessing.
What it needs to work
Four things, and none of them is a new phone system.
Your number
Calls reach the agent through a simple forward from your existing number, so you keep your number and your handsets.
Your data
A price list, stock levels, a diary or an order system, depending on the job. The better the data, the more it can do.
Your rules
What it may quote, when it needs approval, which calls go straight to a person and what it says when it does not know.
A handover route
A person or a team to pass calls to, by transfer, callback or message, with the details already captured.
Is it safe to take payment?
A voice agent should never take card numbers over the phone. A well designed one sends a secure pay link instead, or puts the order on a trade account, so card details never pass through the call. That is how the OptiFlow Voice Agent works: pay link first, then trade account, then pay on collection.
What it costs
Basic AI receptionists start at around £30 to £100 a month. Voice agents that connect to your systems cost more because they do more. The OptiFlow Voice Agent starts at £1,500 a month, including the web widget, on a 90 day pilot with a conversion guarantee. Our guide to AI receptionist costs has the full breakdown.
Questions people ask
Does an AI voice agent sound like a robot?
Modern voices sound natural, and a good agent copes with interruptions and follow up questions. It is good practice to tell callers they are speaking to an AI assistant. Most callers simply want a quick, correct answer.
Will it replace my staff?
It takes the repetitive calls and the ones nobody is free to answer, so your team can spend their time on the customers who need a person. Most businesses use it to cover busy times and out of hours.
Can it understand regional accents?
Modern speech recognition copes well with most UK accents. Very noisy lines can still cause problems, which is why a clear handover to a person matters.
What is the difference between an AI voice agent and a chatbot?
A chatbot works in text, on your website or in messaging apps. A voice agent works on the phone. The best systems share the same knowledge, so customers get the same answer whichever way they get in touch.
